Step 1 – Get to Know the Most Important Tools

The first step in your learning process is to familiarise yourself with the technological tools we use every day.
You have access to a dedicated intranet within our website, where all tools are organised and categorised – making your daily work easier.
You can access the intranet here: INTRANET
In the intranet, under the Quick Links section, you’ll find two links to Ebroker – our CRM system (ERP), which we use for almost everything. Through it, we manage existing clients, claims, premiums, and send emails. Within the system, there are various templates in multiple languages that you should use in 90% of customer communications. We also use the Merlin tariff calculators.
These programs exchange data through so-called “downloads”. These are automatically sent every night from the insurers’ systems to Ebroker – via a standardised data transfer system (e.g. EIAC).
This means you don’t need to manually input policies, premiums, or claims if they’ve already been created in an insurer’s system – they will appear automatically the next day in Ebroker’s database.
The data transfer only works one way: from the insurer to Ebroker – not the other way round.
This means: If you create a policy with the insurer, it will appear the next day in Ebroker. But if you input something in Ebroker, it won’t automatically be sent to the insurer.
Although EIAC improves every year, there are still fields that are not correctly transferred – for example, the client’s language, email, or phone number. These must be updated manually. Likewise, notes you enter directly with the insurer in a claim case are not transferred to Ebroker.
Our personal tip:
If you write a note in the insurer’s system, copy it (CTRL+C) before submitting, and immediately paste it (CTRL+V) into Ebroker as well. This saves time and avoids forgetting to update the note later.
You’ll also see the symbols for Teams and Outlook.
All email accounts in our company run through Office 365, which means you can work from your computer or from anywhere in the world.
We use Teams frequently for internal communication (chat), document sharing in teams, co-editing production Excel sheets or Word files, and of course for our virtual meetings.
If you’ve never used Teams before, we recommend watching a few introductory videos on YouTube. For example:

As mentioned earlier, we send emails directly via templates in Ebroker. Sent messages are saved in both the Outlook outbox and in Ebroker.
Customer replies also land in Ebroker, so you need to check it regularly during your working hours.
All these tools have their own passwords.
The person responsible for your onboarding will provide them so you can access all the tools.
Important: Store your passwords in a secure location to comply with GDPR (General Data Protection Regulation) requirements.
Let’s now take a look at how our company’s ERP system works. It’s called EBROKER.
You may already be familiar with the term CRM (Customer Relationship Management) – an ERP is the next evolution: a CRM 2.0 that enables us to manage client relationships efficiently while working more effectively and professionally.
ERP stands for Enterprise Resource Planning.
Our ERP is called: EBROKER

The Importance of EBROKER in Our Company
EBROKER is like our “Bible” or our “logbook”.
This is where we access information, document everything, and share tasks with the team.
It is the central platform that enables real-time information sharing, even when we are not working in the same physical location.

Key Tips for Working with EBROKER
Every time you interact with a client, please check whether the contact details stored in EBROKER (email, mobile number, etc.) are up to date, and update them if necessary.
Our way of documenting and sharing information with the team is by writing NOTES in EBROKER. These should be short and clear.
You’ll also find all the templates (standard emails) for communicating with clients.
You can send emails to clients directly from EBROKER.

Step 2 – Get to Know the Most Important Resources

In addition to the tools mentioned in Step 1, there are other pages and links we use daily to make our work easier. These are organised in our intranet as follows:
- Assistance – Here you’ll find all the contact numbers of the insurers that you need to know and share with our clients when they need help or have a claim.
Remember, we are a commercial office and we do not “call the tow truck” – but we do provide the client with the correct contact number. - Approved Garages of the Insurers – Most insurers have a network of approved garages that insured clients can use to repair their vehicles in case of a (validated) claim.
Clients are also free to choose any other garage they prefer, but insurers prefer that we work with their approved partners.
- Report a Car Claim or Other Claims (Home, Business, etc.) –
You must always use the correct form so that we collect all the necessary information for opening the claim.
These forms go directly to our claims manager (Rosa), who handles the claim registration with the central system.
Remember: the client must always complete the form. If you’re on the phone with them, gather their details and send them an email via Ebroker with the template containing the form link.
- PAY ONLINE – A direct link opens where clients can pay by credit card.
- Internal Phone Extensions – Plus a list of numbers that are very useful for your daily work.
On the second line of “Tools”, you’ll find:
An IBAN checker
A DNI – NIE verifier
Access to the Insurance Compensation Consortium (Consorcio de Compensación de Seguros)
The AEMET (Spanish Meteorological Agency)
And the Land Registry (Catastro)
For now, we won’t go into detail, as we are still in the introductory phase, presenting the most important tools.
Step 3 – Get to Know the Most Important Products at C1 BROKER

One of the main tasks we carry out at the brokerage is advising our clients on the different types of insurance they need.
These are the four most important types of insurance:

First Learning Priorities: Car and Home Insurance
During your first learning phase, your top priority should be to learn about Car Insurance and Home Insurance.
To learn how to quote these types of insurance, you’ll need to use information collection templates (you can keep printed copies on your desk), or you can use the online forms available on our website.
Think of yourself as a doctor receiving a patient in your office. The questions you “ask your patient” will help you later make a proper diagnosis. Since you’re new to the company, use these templates to guide you, even if your colleagues don’t – they’ve been doing this work for a long time and have everything memorised.
The second part is to understand the product well – its features and coverages.
You must always explain to the client the most relevant coverages of the insurance they are buying. We’ve prepared a “consultation script” for each type of insurance and a video showing what the “perfect presentation” would look like.
Learn the script as best you can, and over time, add your own personal touch and style.
When it comes to knowing the products, there is no other way than to read the policy conditions thoroughly and always keep them at hand when in doubt. Use the search function in the PDF to find the relevant section quickly.
Step 4 – Product Training
Now that the tools have been presented in general, we begin the product training.

Before disclosing any information to a client, confirm their identity by asking for three data points you can match in our system (e.g., full name, date of birth, registered address or client ID).

Own Your First Day as an Insurance Client Manager with These Strategies
Starting a new role can be a challenge, but there are several things you can do to make the transition smoother and more successful:
✅ “Fake it till you make it” –
This doesn’t mean lying, but rather acting with confidence, even if you’re not entirely sure yet.
One important recommendation: never tell a client it’s your first day. Present yourself professionally and calmly – you’ll grow into your role quickly.
✅ Practise sales consultation scripts in front of a mirror, or record yourself.
This helps you get more comfortable during calls or meetings with clients.
✅ Rewatch the training videos as many times as necessary until you’ve memorised them. Repetition builds mastery.
❓ What to do when you don’t know the answer to a client’s question?
Never say:
❌ “I have no idea.”
❌ “I don’t know.”
✅ The correct way to respond is something like:
“At the moment I don’t have the exact answer (or solution), but don’t worry – I’ll consult with the relevant department (or my supervisor) and get back to you with the correct information. Let me note your question so I can follow up properly.”
Then:
Write it down (so the client sees you’re taking it seriously)
Confirm their contact details (email and phone)
Reassure them that someone will get back to them as soon as possible
